Experience Certificate for Teacher: Format, 5 Samples and How a School or Coaching Institute Should Issue One
Updated 30 October 2026 · Facts checked against the sources listed at the end
An experience certificate for a teacher is a signed letter from a school, coaching institute or tuition centre that says who the teacher is, what post they held, from which date to which date, which classes and subjects they taught, and how their work and conduct were. It is printed on the institute's letterhead, carries a reference number and date, and is signed by the principal, director or owner with the institute's stamp. Below you will find a full format and five ready samples you can copy into Word or Google Docs.
This guide is written mainly for the people who issue the certificate: school heads, coaching institute owners and tuition centre managers. It also helps teachers who need one. You will learn what each line is for, what recruiters such as Kendriya Vidyalayas and universities look for, how to count years, months and days without mistakes, how to word the conduct line honestly, what India's new labour codes (in force from 21 November 2025) say about appointment letters and final dues, and how to check a certificate when you hire.
What a teacher experience certificate is, and what it is not
A teacher experience certificate is proof of past work. A new employer, a university, a B.Ed or M.Ed admission office or a visa officer reads it to confirm that the teacher really taught where they say, in the post they say, for the time they say. It is not a reference letter that praises the teacher, and it is not a legal contract. It states facts, and the facts must match your records.
Many people mix it up with other staff papers. Each paper has its own job, so keep them separate. If you join two papers into one, for example a relieving letter that also lists experience, readers may still ask for a proper experience certificate.
| Paper | When it is given | What it says | Who asks for it |
|---|---|---|---|
| Appointment letter | When the teacher joins | Post, category, wages, start date, terms | The teacher, and labour inspectors |
| Relieving letter | On the last working day | The teacher has been relieved of duties from a date, with no dues pending | The next employer, before joining |
| Experience certificate | On leaving, or on request while still working | Post, period of service, classes and subjects, conduct | New employers, universities, admission offices, visa officers |
| Salary certificate or salary slip | Monthly, or on request | Pay and deductions | Banks, landlords, tax filing |
A teacher who is still working with you can also ask for an experience certificate, for example to apply for a B.Ed course or a higher post. In that case you write 'is working' instead of 'worked', and give the date up to which you are counting.
What recruiters and universities look for in it
Before you write, it helps to see the certificate through the eyes of the person who will read it. Official recruitment forms show what they check. These are good models even for a small coaching institute, because a teacher who leaves you may apply to a school, a college or a government post next.
- A Kendriya Vidyalaya contractual teacher form of March 2025 asks, for teaching experience, the name of the school, the post held, the period of service (from, to, and years or months) and the class and subjects taught. It also says the certificate is invalid without the countersignature of the competent authority.
- Panjab University's format of experience certificate for Assistant Professor posts asks whether the work was regular, temporary, ad hoc, contract, guest faculty or part-time, the salary or pay-scale, the dates, and the teaching workload in hours per week for undergraduate or postgraduate classes. It ends with the full signature of the authority with official stamp, and the authority's full name, designation and address.
- The UGC's rules on counting past service for university teaching posts count previous regular service in a university, college, national laboratory or similar body, with conditions. One condition is that the earlier appointment was not ad hoc or in a leave vacancy. So the type of appointment you write on the certificate can matter a great deal to the teacher.
| Reader | What they look for | What you must write clearly |
|---|---|---|
| A school hiring a TGT or PRT | Classes and subjects taught, length of service | Post name, classes, subjects, exact dates |
| A college or university | Type of appointment, workload, level of classes | Regular, contract, guest or part-time; hours per week; UG or PG |
| A B.Ed or M.Ed admission office | Total teaching experience, conduct | Total period in years and months, a conduct line |
| A coaching institute | Batches and courses handled, results of tests you can prove | Courses, batches and levels taught, without results claims |
The experience certificate format for teacher: twelve parts, top to bottom
Use this order. It works for schools, coaching institutes and tuition centres, and it matches what the official forms above ask for.
- Letterhead: the institute's full name, address, phone, email and website if you have one. If you have no printed letterhead, type these details at the top in bold.
- Reference number: a number from your issue register, for example EXP/2026/014. It lets you, and anyone verifying, find the copy later.
- Date of issue.
- Heading: 'Experience Certificate' or 'To Whom It May Concern'.
- Name of the teacher, exactly as in their appointment letter or ID. Add 'son of' or 'daughter of' only if the reader asks for it, as many government forms do.
- Post or designation, for example 'TGT (Mathematics)', 'Physics Faculty' or 'Primary Teacher'.
- Type of appointment: full-time, part-time, contract, guest faculty or visiting faculty. Write the truth; it decides how others count the service.
- Period of service: date of joining and last working day, both in full (for example 1 July 2023 to 31 March 2026), and the total in years and months.
- What they taught: classes or courses, subjects, and for coaching, the batches or levels (for example Class 11 and 12 Physics, JEE Main foundation batch).
- Workload, when the reader may need it: hours per week, or number of batches.
- Conduct and work: one short, honest line, such as 'Their work and conduct during this period were good.'
- Signature block: signature, full name and designation of the signing person, the institute's stamp, and a phone number or email for verification.
Leave out salary unless the teacher asks for it in writing or the reader's format needs it, as the Panjab University format does. Pay is private, and a separate salary certificate is the cleaner place for it.

How to count years, months and days without mistakes
Wrong totals are the most common error on experience certificates, and they make a reader doubt the whole paper. Use one simple method every time: count whole years from the joining date, then whole months, then the leftover days, counting both the first and the last working day.
| Step | Example A | Example B |
|---|---|---|
| Date of joining | 1 July 2023 | 15 June 2024 |
| Last working day | 31 March 2026 | 10 April 2026 |
| Whole years | 1 July 2023 to 30 June 2025 = 2 years | 15 June 2024 to 14 June 2025 = 1 year |
| Whole months after that | 1 July 2025 to 31 March 2026 = 9 months | 15 June 2025 to 14 March 2026 = 9 months |
| Leftover days | None | 15 March to 10 April = 17 + 10 = 27 days |
| Total to write | 2 years and 9 months | 1 year, 9 months and 27 days |
- Use the last working day, not the date you sign the certificate, unless the teacher is still working.
- If the teacher had a long unpaid break, for example a year away, either issue the certificate for the two periods separately, or write both periods and the total. Do not hide the gap.
- Summer and winter vacations inside the service period are part of the service. You do not subtract them.
- For part-time teachers, give the hours per week rather than turning the time into full-time years. The reader will apply their own rule.
How a school or coaching institute should issue one, step by step
A small institute does not need a big HR team for this. It needs a routine that takes about one day and leaves a clean record.
- Take the request in writing. A WhatsApp message or email from the teacher is enough. Note the date and why they need it, because a university format or a visa format may need extra lines.
- Pull the records: the appointment letter, the attendance or timetable records that show which batches they taught, the salary register, and any leave records. If you run batches on software, the batch list and teacher assignments help a lot.
- Check the dates. Confirm the date of joining and the last working day from the records, not from memory.
- Draft the certificate from the format above, using the teacher's name exactly as in their documents.
- If the reader has given a fixed format, such as a university annexure, fill that format instead, and attach your own letter only if asked.
- Sign and stamp. The person who signs should have the authority to do so: the principal, director, owner or partner.
- Enter it in an issue register: reference number, teacher's name, date, purpose, who signed.
- Give the original to the teacher, keep a scanned copy, and send a PDF copy by email if they want one.
- Answer verification calls or emails from new employers promptly, but only confirm what is on the certificate.
Try to give the certificate on the last working day, or within a few days of a request. Delay can cost the teacher a job, and the teacher will remember how you treated them. Every teacher who leaves on good terms is someone who may speak well of your institute to parents and other teachers.
Keep the records that make the certificate easy
A certificate is only as good as the records behind it. If you keep these five things from the day a teacher joins, you can write any certificate in minutes and answer any verification call with confidence.
| Record | Why it helps the certificate | Where to keep it |
|---|---|---|
| Signed appointment letter | Gives the post, type of appointment and joining date | Staff file, paper and scanned |
| Batch and timetable records | Show which classes, subjects and batches they taught, and the hours | Timetable register or your institute software |
| Attendance of classes taken | Confirms they actually taught in the period | Class register or software |
| Salary register and bank transfer records | Proves the job was real and paid | Accounts |
| Resignation letter and last working day | Fixes the end date | Staff file |
If you run your institute on Sikhami's free LMS, you can add each teacher to your institute's team with the Teacher role and assign them to batches. They then take attendance for those batches, which gives you a dated record of who taught which batch. See Institute team and roles and Batches, timetable and attendance.
What India's labour codes say, as of 2026
India's four labour codes, the Code on Wages, 2019, the Industrial Relations Code, 2020, the Code on Social Security, 2020 and the Occupational Safety, Health and Working Conditions Code, 2020, were made effective from 21 November 2025. They replace 29 older labour laws. Here is what touches staff papers for a school or coaching institute. This is general information from the government's own pages, not legal advice; check your State's rules and ask a professional for your case.
| Point | What the government says | What it means for you |
|---|---|---|
| Appointment letter | Every employee will be given an appointment letter in the prescribed format, with details of the employee, designation, category, wages and social security | Give one to every teacher you hire; it later backs up the experience certificate |
| Final wages on exit | When an employee leaves, by resignation, dismissal or termination, the employer must pay all due wages within two working days | Settle dues fast; do not hold pay back until the certificate is ready |
| Gratuity | Payable after at least five years of continuous service; for a fixed term employee, on the end of the contract after one year of service; within 30 days of becoming payable | Applies to shops and establishments with ten or more employees, among others |
| Provident Fund | Applies to all establishments employing 20 or more employees | A teacher's EPF record can confirm their service |
| ESI | Applies to establishments employing 10 or more persons, with exceptions | Check if your institute is covered |
The codes, as summarised in the Ministry of Labour's employer handbook, speak of appointment letters, but the government pages read for this guide do not set a single national format for an experience certificate for a coaching institute. Check your State's rules for anything extra. Either way, giving one is simple good practice, and a refusal hurts a teacher who did honest work.
Never hold back an experience certificate to force a teacher to stay, to pay a penalty or to sign something. Settle disputes on their own terms; the certificate states facts.
Writing the conduct line honestly
The conduct line is where owners get stuck, especially when a teacher left on bad terms. The rule is simple: write only what is true and what you can stand behind if someone calls you.
| Situation | A line you can use |
|---|---|
| Good work, no issues | Their work and conduct during this period were good. |
| Very good work you can show | They were sincere and punctual, and their work and conduct were very good. |
| Average work, no misconduct | Their work and conduct were satisfactory. |
| Problems you do not want to judge | Leave out the conduct line and state only the facts of service. |
| Proven serious misconduct | State only the facts of service. Do not invent praise, and do not add accusations to the certificate; deal with them through the proper process. |
Do not write things like 'excellent results' or 'produced toppers' unless you can show the record, and even then keep student names out of it. And never sign a certificate with false dates or a post the teacher did not hold, even as a favour. A false certificate can lose the teacher their next job when it is checked, and it can put your institute's name on the wrong side of the law.
For teachers: how to ask for your experience certificate
Ask before your last working day, and ask in writing. Keep it short and polite, and say why you need it, because the purpose may change the format.
Sample request: To the Principal / Director, [Institute name]. Subject: Request for experience certificate. Respected Sir/Madam, I worked in your institute as [post] from [date of joining] to [last working day]. I request you to kindly issue me an experience certificate stating my post, period of service, and the classes and subjects I taught. I need it for [a job application / B.Ed admission / a university form; format attached, if any]. Thank you. Yours sincerely, [Name], [Phone], [Date].
If the institute has closed, or does not reply, you still have other proof. Your appointment letter, salary slips and bank statements showing salary credits help. If your employer deducted Provident Fund, the EPFO member portal shows your PF passbook, and EPFO said in September 2025 that members can now download Annexure K, the PF transfer certificate, from the member portal; it helps confirm that service period is updated when you change jobs. Some recruiters accept these with a self-declaration; ask them first.
While you wait, keep your teacher resume up to date with exact dates, so your resume and your certificate say the same thing. Recruiters notice when they do not match.
How to check an experience certificate when you hire a teacher
When a teacher joins you, their old certificates matter to you too. A few simple checks protect your students and your name.
- Match the dates on the certificate with the dates on the resume and the application form.
- Look for a reference number, a date, a signatory's name and designation, and a contact for verification. A certificate with none of these is weak.
- Call or email the issuing institute using a number you find yourself, for example on their website or Google listing, not only the number printed on the certificate.
- Ask only factual questions: did this person work with you, in this post, for these dates.
- If the teacher had PF deducted, you may ask them to show their PF service record. Ask; do not demand access to their account.
- In the interview, ask about the classes and batches named on the certificate. Real experience shows quickly. Our list of teacher interview questions and answers can help.
Common mistakes, and how to avoid them
| Mistake | Why it hurts | Fix |
|---|---|---|
| No reference number or date | Cannot be verified or found later | Keep an issue register |
| Wrong total period | Readers doubt the whole paper | Use the years, months, days method above |
| Only 'teacher', with no subject or classes | Schools cannot judge fit | Name the subjects, classes and batches |
| Type of appointment left out | Universities may not count the service correctly | Write full-time, part-time, contract or guest |
| Signed by someone without authority | May be rejected | The head, director or owner signs |
| Praise and results claims | Cannot be proved, looks copied | Keep one honest conduct line |
| Certificate held back over a dispute | Unfair to the teacher, damages your name | Issue the facts; settle the dispute separately |
When this format is not the right one
- Government and university posts often give their own annexure. Use that exact format; the reader may reject anything else.
- If the teacher worked through a placement agency or a company that paid them, the experience certificate should usually come from the employer that paid them, with your letter on the work done, if asked.
- A home tutor or freelance online teacher who was never employed cannot get an employer's certificate. Proof then comes from other records, such as invoices, a registered business, platform statements or letters from institutes they taught for.
- For college teaching posts, remember that the UGC rules count previous regular service under conditions, and do not count ad hoc or leave vacancy posts. A certificate cannot change the nature of the job, so be exact about it.
If you are setting up staff papers for the first time, it helps to look at the student side too: a clear coaching admission form and a course completion certificate follow the same idea of short, checkable facts.

Frequently asked questions
What is an experience certificate for a teacher?
It is a signed letter from a school, coaching institute or tuition centre that confirms a teacher's post, type of appointment, period of service, the classes and subjects taught, and their conduct. It is printed on letterhead with a reference number, date, signature and stamp.
Who signs a teacher experience certificate?
The head of the institute: the principal or head of school in a school, and the director, owner or partner in a coaching institute or tuition centre. Some recruiters, such as the Kendriya Vidyalaya form of March 2025, say a certificate is invalid without the countersignature of the competent authority.
Can I get an experience certificate while I am still working?
Yes. The institute writes that you 'are working' with them since your joining date, gives the period up to the date of the certificate, and often notes the purpose, such as a B.Ed admission or a job application.
Should salary be mentioned on a teacher experience certificate?
Usually not. Leave it out unless the teacher asks for it in writing or the reader's own format needs it. A separate salary certificate is the better place for pay details.
Is it legally required to give an experience certificate?
The labour codes in force from 21 November 2025 require appointment letters and quick payment of final wages, but the government pages read for this guide do not set one national rule for experience certificates at a coaching institute. Check your State's rules; giving one is good practice.
How do I count the total experience on the certificate?
Count whole years from the joining date, then whole months, then the leftover days, including both the first and the last working day. For example, 1 July 2023 to 31 March 2026 is 2 years and 9 months.
What if my old school or coaching institute has closed?
Use other proof: your appointment letter, salary slips, bank statements with salary credits, and, if PF was deducted, your PF passbook and Annexure K from the EPFO member portal. Ask the recruiter which of these they accept, often with a self-declaration.
Does coaching institute experience count for a university teaching post?
The UGC's rules on counting past service count previous regular service in a university, college, national laboratory or similar body, under conditions, and not ad hoc or leave vacancy service. Coaching institute experience may help in other ways, but check the recruitment notice for how it is counted.
