Batches, timetable and attendance

Organise your institute's students into batches, set each batch's weekly timetable, add students, take attendance class by class, and archive batches that have finished.

Updated 22 October 2026

A batch is a group of students taught together, for example "NEET 2027 – Evening". Each batch has its own weekly timetable, list of students, attendance and fee plans.

Batches are for running your institute day to day. They are private to your institute's team and to the students in them; they are not shown on your public institute page.

Where to find batches

  1. Open the Learning studio and click your institute under My institutes.
  2. Open the Batches tab (staff may see it as Batches & attendance).
  3. Use the two buttons at the top to switch between Batches, the list, and Timetable, the whole week.

The owner and admins can create and edit batches. Teachers and accountants can look at them. See Institute team and roles.

Create a batch

  1. Click New batch.
  2. Type a Name, for example "JEE 2027 – Morning" (at least 2 characters).
  3. Under Where classes happen, choose In class, Online or Hybrid.
  4. For In class or Hybrid, type the Classroom / address.
  5. For Online or Hybrid, paste the Live class link (a Google Meet or Zoom link that starts with https://). Students see it on class days.
  6. Pick the Starts and Ends dates, and type the number of Seats (0 means no limit).
  7. Under Weekly timetable, click + Add a class time for each class. Choose the day, the start time and the end time. Use the cross to remove one.
  8. Under Teachers for this batch, choose the team members who teach it. They can take attendance for this batch.
  9. Click Save.

A class time is saved only if it ends after it starts. If one disappears after you save, check its times. If Teachers for this batch says to add teachers under Team first, add them in the Team tab with the Teacher or Admin role.

The weekly timetable

Click Timetable to see Monday to Sunday side by side, with every class of every active batch, sorted by time. Click a class to open its batch.

The Dashboard tab also lists Classes today. Click one to go straight to that batch's attendance. A batch's classes are left out of Classes today before its start date and after its end date.

Add students to a batch

Click a batch name to open it, then use the Students tab. The owner and admins can add and remove students.

  1. Under Add a student, type their Sikhami username (links their account). Or, for someone not on Sikhami, type their Name and Phone.
  2. Click Add to batch.
  • A student added by username shows the On Sikhami tag. They see the batch, its timetable, their own attendance and their fees under My batches on their My learning page.
  • A student added by name and phone is kept on your records only; they see nothing on Sikhami.
  • If the batch has a seat limit and it is full, you see This batch is full.
  • Each student's row shows their attendance as a percentage, with the classes present out of the classes marked.
  • To remove a student, click the delete button on their row and confirm. Their attendance history stays, and their fee plan stays under Fees.

Take attendance

Open the batch and go to the Attendance tab. The owner, admins and the teachers assigned to the batch can mark attendance.

  1. Check the Class date. It starts as today. You cannot pick a future date.
  2. Type the Topic taught (optional).
  3. For each student, tap P (present), L (late) or A (absent). On a new date, everyone starts as present.
  4. Check the count, for example "18 of 20 present".
  5. Click Save attendance.
  • Past classes lists earlier dates with their topic and how many were present. Click a date to open it.
  • If attendance was already taken for a date, the page shows when it was taken. Saving again replaces it.
  • Late counts as present in the attendance percentage.
  • Other staff can see the marks but cannot change them.

Edit or archive a batch

In the Batches list, click Edit next to a batch. You can change every field from the create form. When a batch has finished, tick Archived (finished; kept for records, off the timetable) and click Save.

  • An archived batch stays in the list, faded and tagged archived, so you can still open its students and attendance.
  • It is left out of the Timetable, Classes today and the dashboard counts.
  • To bring it back, click Edit, untick Archived and save.

The website has no button to delete a batch. Archive it instead.

What students see

Students you added by username see a My batches section on their My learning page. For each batch it shows:

  • the batch name and the class days and times, with the classroom if you gave one,
  • their own attendance percentage,
  • their fee status, if they have a fee plan,
  • a Join live class button, if the batch has a live class link.

The section shows only the student's own attendance and fees, not those of other students in the batch.

Questions

Is a batch the same as a face-to-face course?

No. A face-to-face course is your public listing where students apply. A batch is your private class register. Confirmed students are not added to a batch on their own; add them yourself. See Classroom (face-to-face) courses.

Can a teacher take attendance for any batch?

No. A staff member with the Teacher role can mark attendance only for batches where they are chosen under Teachers for this batch. The owner and admins can mark any batch.

Can I correct attendance I already saved?

Yes. Pick the date again (or click it under Past classes), change the marks and click Save attendance. The new marks replace the old ones.

Can I take attendance for a future class?

No. The class date can be today or an earlier day.

Does the student get a message when I mark them absent?

No. Their attendance percentage on their My learning page updates.

Why does a student not see the batch?

They see it only if you added them by their Sikhami username. Students added by name and phone are not linked to an account.
