A good WhatsApp message for tuition classes is short and personal. It greets the parent or student by name, says one thing (a date, a time, an amount or a result), tells them what to do next, and ends with your institute's name and number. Parents get a stream of school, family and work messages every day, so the message that gets answered is the one that can be understood at a glance.

Below are copy-paste templates in English and Hindi, plus a short Hinglish set, for every routine situation in a tuition or coaching centre: admissions, a new batch, a free demo class, timetable changes, online class links, polite fee reminders, holidays, tests, results, absences, parent-teacher meetings, festivals, referrals and motivation. Six rules for tuition messages parents actually read

  • Use the name. 'Dear Mrs Sharma, Aarav's maths test is on Saturday' reads as if it was written for her; 'Dear Parents' reads like a circular.
  • One message, one purpose. Do not mix a fee reminder with a holiday notice or an offer.
  • Put the facts in figures: the date with the day, the time with AM or PM, the amount in rupees.
  • Say the next step: reply YES, pay by a date, join at a time, or call a number.
  • Sign off with the institute's name and a phone number, even on a broadcast.
  • Write in the language the family uses. If you are not sure, send Hindi and English in the same message.

Fee reminders, marks and absence notes are private matters. Send them in a one-to-one chat, never in a class group.

Keep admission messages factual: subjects, timing, place, batch size and fee. Promises such as '100% result' or 'guaranteed selection' are treated as misleading in coaching advertisements; our guide to coaching ads in Hindi and English explains the rules and has honest sample lines.

Fee reminder messages: how to ask for tuition fees politely

Asking for fees feels awkward, but a clear reminder is a service to a busy parent, not an insult. The polite way is to remind early, state the exact amount and date, list the ways you accept payment, and leave room for the parent to talk to you. Keep every fee message in a private chat. When the fee comes in, thank the parent the same day and send a receipt; our tuition fee receipt format has a template if you need one.

  • First reminder: a few days before the due date, friendly and neutral.
  • Second reminder: a few days after the due date, still polite, with an offer to talk.
  • Final reminder: firm and factual, with a clear date and an offer of a phone call. No threats, and never a word about the fee in front of the child or the class.
  • Thank-you: on the day the fee arrives, with the receipt number.

Send marks one-to-one. A merit list in a class group embarrasses the students at the bottom, and the Ministry of Education's 2024 guidelines for coaching centres, which states adopt through their own laws, ask centres not to make the results of their own assessment tests public.

Absence note to a parent

Keep greetings free of offers. A wish that turns into an advertisement in its last line reads as spam.

Asking for referrals

A recommendation from a parent means a great deal to a small centre like ours. Thank you, [Institute name].

Set up the WhatsApp Business app for your tuition centre

The free WhatsApp Business app, which WhatsApp describes as built for small business owners, covers almost everything a tuition centre needs. If you can, use a separate number for the centre so that parent chats and personal chats stay apart. The tools below are described from WhatsApp's Help Center as of October 2026; some features roll out gradually, so your app may differ.

If you have a Google Business Profile, you can add your WhatsApp Business number to it as a chat link, so a parent who finds you on Google Search or Maps can message you in one tap.

Broadcast list, group or WhatsApp Business Platform?

A broadcast list sends one message to many contacts, and each reply comes back to you privately; it is not shared with the others on the list. The catch, according to WhatsApp's Help Center: a broadcast reaches only contacts who have saved your number in their phone's address book. So the first thing to ask every new parent is to save the centre's number.

A group is one conversation in which everyone sees every message. Use groups only for things the whole batch should discuss, use broadcasts for notices, and keep fees, marks and attendance to one-to-one chats.

To reach people who have not saved your number, the app offers paid marketing messages, now called business broadcasts in some countries. You pay for each message delivered, and WhatsApp says the feature is available only in some countries, so it may not appear in your app yet.

When you need the WhatsApp Business Platform (API)

The WhatsApp Business Platform is WhatsApp's set of business messaging APIs, aimed at larger operations that connect WhatsApp to their own software, and it works differently from the app. Under WhatsApp's Business Messaging Policy, a business on the Platform can start a conversation only with an approved message template, can send free-form replies only within 24 hours of the person's last message, and pays for messages under WhatsApp's pricing. It is worth considering when:

  • your student software should send fee reminders, attendance alerts or class links on its own;
  • several staff members need to handle enquiries on one number through a CRM or support tool;
  • you run many branches and want enquiries routed to the right branch automatically.

WhatsApp's business site points businesses to partners for setting up the Platform. For a single tuition centre, the free app is usually enough.

How to keep your number from getting blocked

WhatsApp acts on what recipients do. Its policy says people can block or report a business, and its systems may limit how many messages a business can send based on that feedback; accounts that spam can be banned. These habits keep a tuition number safe:

  1. Message only families who gave you their number and agreed to hear from you.
  2. Send what they signed up for. A parent who agreed to fee reminders did not agree to a daily quote.
  3. Ask every new parent to save your number, since broadcasts do not reach anyone who has not.
  4. Use only the official WhatsApp or WhatsApp Business app. WhatsApp says unofficial versions such as GB WhatsApp break its terms and can lead to a temporary or permanent ban, and its policy says messaging people at scale in an unauthorised way can cost a business its access.
  5. Remove contacts who have left the centre or stopped replying, and honour every request to stop at once.
  6. Keep broadcasts few and useful. One clear notice works better than five reminders.
  7. If you use paid business broadcasts, know the penalty: when many people report or block them, WhatsApp first warns the account, and continued spam suspends business broadcasts for three days.
  8. If the account is banned by mistake, tap Request review in the app. WhatsApp says most reviews are completed within 24 hours, and no outside service can lift a ban.

The institute and each of its courses have their own public page, so an admission message can end with the course page link, where learners can follow the institute, read reviews and ask questions.
